From practice: the reporting tool of DB Cargo Switzerland

Strict safety regulations apply in rail transport. Incidents must be systematically recorded, ranging from property damage and personal injury to irregularities. Each type of report requires different information.

We built a reporting tool for DB Cargo Switzerland where the form reacts to the report type. Anyone submitting a sick leave notice is automatically asked for the duration of the absence and directly attaches the medical certificate as a photo from their smartphone camera. Upon submission, the HR department and the direct supervisor are automatically copied.

The tool runs on all devices in the company, is multilingual, and can be expanded step-by-step with additional fields and rules. That is precisely what process automation is about: not just another form, but a workflow that knows by itself who needs to take action next.

n8n is a platform where workflows are built as flowcharts. It can be run on your own server, allowing you to keep control of where your data is stored.

No. The starting point is the systems you use today. A switch can make sense, but it is not a prerequisite for automation.

Each process gets error handling and notification. It is important that a failure is noticed and does not silently lose data in the background.

Our servers are located in Switzerland, so n8n runs accordingly on Swiss infrastructure. As soon as a language model is involved, where the processing takes place depends on the provider. We clarify this before setting up and document in writing which data takes which path.

We are providing an offer according to your requirements. The quote is broken down into individual items and modules so that the cost of each process remains transparent. This allows you to omit individual parts or add them later.

For businesses where the same information is manually entered multiple times, and for all those where a recurring process regularly wastes time. For very small volumes, the effort to set it up is often greater than the benefit.
